We're seeking an experienced Executive Assistant & Office Manager to provide high-level support to our Chief Operating Officer while leading the day-to-day operations of our Melbourne Corporate Office. Acting as a trusted partner to the COO, you'll play a key role in coordinating priorities, supporting decision making and ensuring the smooth delivery of executive and business activities. Working across a broad stakeholder network, you'll bring exceptional organisation, sound judgement and a proactive approach to a fast-paced and dynamic environment. As part of our Executive Assistant team, you'll also contribute to a collaborative culture that supports the success of leaders and teams across the business.
As an Executive Assistant & Office Manager in the ASPAC team, you’ll make a positive impact by:
- Providing high-level executive support, including calendar, inbox, travel and expense management for the COO.
- Coordinating executive reporting, presentations, governance documentation and business communications.
- Managing stakeholder engagement activities and facilitating key meetings with internal and external partners.
- Overseeing office operations, facilities, procurement and contractor management for the Melbourne Corporate Office.
- Supporting onboarding, offboarding, events and business initiatives while collaborating with the wider Executive Assistant team.
- Managing multiple priorities while maintaining confidentiality, professionalism and exceptional service standards.

- Significant experience as an Executive Assistant supporting senior executives or C-suite leaders.
- Strong experience managing executive priorities within a complex corporate environment.
- Demonstrated experience preparing reports, presentations, board papers or executive-level documentation.
- Exceptional organisational, planning and stakeholder management skills.
- Advanced Microsoft Office capabilities, particularly Word, PowerPoint and Excel.
- A proactive, solutions-focused approach with strong emotional intelligence and the ability to manage confidential matters with discretion.
You are a highly organised professional who thrives on anticipating needs, building trusted relationships and creating structure in complex environments. You bring a strong sense of ownership, excellent attention to detail and enjoy working collaboratively with others to achieve shared outcomes.
