As an Electronic Monitoring Service Receptionist in our Citizen Services team, you’ll be the welcoming and professional first point of contact at our Head Office at Dornoch House. You’ll play a vital role in shaping first impressions, supporting colleagues, visitors and partners while helping maintain a safe, organised and customer‑focused working environment.

Your work will help create impactful solutions by keeping front‑of‑house services running smoothly, supporting facilities and security processes, and contributing to a positive, inclusive workplace culture where people feel supported and respected. What you’ll do as a Receptionist


You’ll be entrusted to:

 

  • Greet colleagues and visitors with warmth, professionalism and confidence.
  • Maintain a clean, organised and welcoming reception area.
  • Handle incoming calls, emails and enquiries promptly and professionally.
  • Support visitors through the sign‑in process and direct them appropriately.
  • Schedule meetings, manage calendars, book rooms and support logistics.
  • Assist with facilities tasks including maintenance requests, room setup and general office checks.
  • Complete routine site audits such as fire alarm tests, car park checks, WC and kitchen checks, and cleanliness inspections.
  • Support internal and external site inspections when required.
  • Manage access cards and permissions, supporting colleagues with access queries.
  • Monitor access logs and ensure compliance with site security protocols.
  • Sort, distribute and record incoming and outgoing mail and packages.
  • Monitor office supplies, restock items and maintain organised storage areas.
  • Support car parking permits and assist colleagues with parking or EV charging queries.
  • Work closely with the Business Support team to ensure front‑of‑house cover throughout the day.
  • Provide ad‑hoc administrative and facilities support to colleagues as needed.
  • Contribute positively to a collaborative, inclusive and supportive team environment.

You’ll be a great fit for this role if you have:

 

  • A friendly, confident and customer‑focused approach.
  • Strong written and verbal communication skills.
  • Excellent organisational skills and the ability to manage multiple tasks at once.
  • Experience in a reception or customer‑facing role with administrative duties.
  • Good working knowledge of Microsoft Word, Excel and Outlook.
  • The ability to remain calm, proactive and solution‑focused when handling enquiries.
  • A reliable, positive attitude and strong team‑working mindset.
  • Experience using visitor management or building access systems (desirable).
  • Experience supporting office or facilities coordination (desirable).
  • Yellow Belt training or willingness to complete training (desirable).

 

Vetting and checks:

 

This role requires BPSS clearance, which involves identity verification, employment history, and criminal record checks to meet government security standards. An Occupational Health Questionnaire will also be required to ensure we can offer appropriate support for your wellbeing and performance. A Standard DBS check will be carried out for this position. This includes spent and unspent convictions, cautions, reprimands, and warnings as permitted under the Rehabilitation of Offenders Act.
