Salary: £26,509.50 plus excellent benefits
Schedule: Permanent, Full-time, 40 hours per week, Monday to Friday

As a Records Clerk in our Offender Management Unit team at HMP Fosse Way, you’ll play a vital role in ensuring prisoner records are accurate, up to date, and managed in line with operational requirements. Your work will help support the effective running of the prison and enable colleagues to make informed decisions that contribute to rehabilitation and safer communities.
Working as part of a collaborative team, you'll provide essential administrative support across the Offender Management Unit. By maintaining accurate records, coordinating information, and liaising with internal and external stakeholders, you'll help create a positive impact on the lives of those in custody while supporting the wider justice system. This is a role where attention to detail, trust, and care make a real difference every day.
What you’ll do as a Records Clerk
- Maintain prisoner records, including audit trails and the appropriate archiving of documentation
- Update prison recording systems, including the Prison-NOMIS (National Offender Management Information System), Digital Prison Services, and local databases following admissions
- Monitor departmental mailboxes and obtain legal documentation and warrants following court and video-link appearances
- Liaise with internal departments and external agencies on behalf of the Offender Management Unit
- Support the smooth running and performance of the department, assist with case administration and other tasks in the department
- Complete general administrative duties, including document filing and processing departmental mail and parcels
Does this sound like you?
- GCSEs in Maths and English at Grade C or above
- Good IT skills with experience using systems, Microsoft Excel, and Microsoft Word
- Strong verbal and written communication skills
- Solid organisational skills, with the ability to manage various workloads based on deadlines
- Demonstrate ability or experience in working within a busy environment
- A collaborative team player who can maintain professional standards, exercise discretion

Vetting and checks:
An Enhanced DBS check is required for this role. This includes spent and unspent convictions, cautions, and any relevant information held by local police, in accordance with the Rehabilitation of Offenders Act and safeguarding requirements. You will also complete an Occupational Health Questionnaire to allow us to provide any support needed for you to succeed in the role.
