Location: Defence Academy, Shrivenham, Swindon
Salary: £19,769.08 plus excellent benefits
Schedule: Perm/PT/28 hours per week – 9am-3pm Monday – Thursday and 9am -1pm on a Friday

As a Families and Welfare Lead Administrator in our Defence team, you’ll provide essential administrative and secretarial support that helps service families access welfare services and community support. Your work will help ensure the smooth operation of the Families and Welfare Office and create a positive experience for everyone who uses its services.
This is a varied and rewarding role where you'll work closely with military personnel, service families, and colleagues to support welfare initiatives that have a positive impact on communities. Through trusted support, effective organisation, and excellent customer service, you’ll help create an environment where people feel supported, connected, and able to thrive.
What you’ll do as a Families and Welfare Lead Administrator
- Act as the first point of contact for visitors and enquiries within the Families and Welfare Office and Jubilee Community Centre.
- Arrange/assist with office functions, coffee mornings and events including annual and ad hoc Meet and Greet events, representing the Families and Welfare Dept.
- Provide administrative and secretarial support to welfare teams, including diary management and correspondence.
- Coordinate bookings, events, community activities, and facility hire arrangements within the Jubilee Community Centre.
- Maintain records, process documentation and payments, and support day-to-day office administration.
- Support welfare communications by distributing information and maintaining community noticeboards.
- Assist with welfare events, community programmes, and operational activities that support service families.
- Assist with the movement of furniture and welfare stores, within the JCC, to include but not limited to the setting up and clearing down of groups, classes, and activities.
- Cover in the absence of the Families and Welfare Spec Co-Ordinator.
Does this sound like you?
- Previous experience in a welfare, customer service, administration, or secretarial role.
- Strong organisational skills with the ability to manage multiple priorities and work independently.
- Confident using Microsoft Office applications including Outlook, Word, Excel, Teams, and PowerPoint.
- Excellent communication skills with the ability to engage effectively with a wide range of people.
- Able to handle sensitive information confidentially and professionally.

Vetting and checks:
This role requires Baseline Personnel Security Standard (BPSS) clearance, which involves verifying your identity, employment history, nationality, and criminal record to meet government security standards. In addition, depending on the nature of the role, you may need to obtain formal Security Clearance (such as CTC or SC), which includes more detailed background checks on employment, criminal record, and financial history to ensure suitability for working in secure environments. Please note that UK residency requirements may apply for certain levels of clearance. You will also complete an Occupational Health Questionnaire so we can identify and provide any support you may need to undertake the role effectively.
