As a SSR Receptionist in our Defence team, you’ll help ensure contractors working on site are safely inducted, compliant with health and safety requirements, and properly recorded. Your work will support the safe and efficient operation of a nationally important defence environment while delivering excellent service to colleagues, contractors, and stakeholders.

Our work touches lives in many ways, and this role is a key part of creating a safe, secure, and well-organised environment. By maintaining compliance records, supporting contractor management processes, and helping people access the site safely, you'll have a positive impact on the daily operation of the Defence Academy and support the delivery of services that help impact a better future.

 

What you’ll do as a SSR Receptionist

 

  • Deliver contractor inductions and ensure all contractor records remain compliant and audit-ready
  • Maintain accurate induction and contractor tracking spreadsheets, ensuring information is up to date
  • Process contractor notifications through TOPdesk and verify induction status before issuing site passes and lanyards
  • Monitor contractor sign-in and sign-out processes and maintain records of contractor activity and locations on site
  • Produce and share daily contractor statistics with relevant stakeholders
  • Provide administrative support including managing emails, telephone enquiries, document preparation, photocopying, stock replenishment, and reception desk duties

  • Experience delivering excellent customer service with a professional and proactive approach
  • Strong administration skills with excellent attention to detail and accuracy
  • Good working knowledge of Microsoft Office, particularly Outlook, Word, and Excel
  • Confident communicator who can build trust and positive relationships with a wide range of people
  • Able to work independently, manage competing priorities, and maintain composure under pressure

Vetting and checks:

This role requires Baseline Personnel Security Standard (BPSS) clearance, which involves verifying your identity, employment history, nationality, and criminal record to meet government security standards. In addition, depending on the nature of the role, you may need to obtain formal Security Clearance (such as CTC or SC), which includes more detailed background checks on employment, criminal record, and financial history to ensure suitability for working in secure environments. Please note that UK residency requirements may apply for certain levels of clearance. You will also complete an Occupational Health Questionnaire so we can identify and provide any support you may need to undertake the role effectively.
