Contract: Full-time, Permanent
Working Hours: 40 Hours per week, Monday to Friday (8:00AM to 5:00PM)

Are you a confident communicator who enjoys working at pace and solving problems? Do you have strong administrative experience and an interest in utilities or customer service? This role offers the opportunity to support families, suppliers and colleagues while helping to ensure essential services run smoothly across Defence accommodation.
This is a key role within the VIVO Utilities Team, part of our long-term contract to manage, maintain and support over 27,000 homes for the UK Defence sector. You will work in a close-knit, supportive team that values collaboration, shared learning and continuous improvement.
About the Role
This role is focused on supporting the management of utility billing and usage across a wide housing portfolio. It is fast-paced and requires accuracy, initiative and strong communication.
You will be part of a team of four: one Team Leader and three Administrators, including this post.
Everyone performs the same duties. The team splits tasks between morning and afternoon, allowing everyone exposure to the full range of responsibilities.
Your day will include paying utility invoices, liaising with different teams to obtain meter readings and photographs, managing queries from families, and handling billing during void (vacant) property periods. You will also validate data for consolidated billing, phone suppliers to resolve issues, ensure energy bills are redirected correctly, and support the transition to our partnership contractor OVO, while working with other energy suppliers where required.
This role is not purely back office. You will speak regularly with suppliers, colleagues and customers. Clear communication and excellent customer service are essential.
What We’re Looking For
You should have administration experience, ideally in utilities, maintenance, housing or a customer support environment. Experience handling utility suppliers or billing processes would be an advantage. You must enjoy working accurately under time pressure, managing changing priorities and communicating clearly with a variety of stakeholders.
Strong Microsoft Office skills, particularly Excel, are essential.
Due to limited public transport access, a full driving licence is required. On-site parking is available.
You will need to be able to pass BPSS Clearance to be eligible for this role.
