Working Hours: 37.5 Hours per week, Monday to Friday (8:00AM to 4:30PM)

We’re looking for a Works Administrator to join our South East Accommodation team and play a vital role in supporting the smooth delivery of essential works across our Defence contract. About the Role


As our Administrator, you’ll be central to the team, ensuring that core works are delivered on time and that void inspection tasks are scheduled seamlessly. No two days will be the same, and you’ll work closely with colleagues, service partners, and Defence representatives to keep everything running smoothly.

Your responsibilities will include scheduling and allocating monthly void inspection tasks, inputting updates into our systems, handling calls and queries with professionalism, producing reports and maintaining trackers, supporting management and raising purchase orders while managing billing processes.


You will report to the Regional Operations Lead while working closely with the wider VIVO Operations and Support teams, Defence Infrastructure Organisation personnel, local customer representatives, service partner operatives and supervisors, and Pinnacle representatives. Collaboration will be at the heart of this role, with strong relationships essential to success.


What you’ll need

You should have solid administrative experience in a busy environment and be comfortable balancing multiple priorities while meeting tight deadlines. Strong IT skills, particularly in Excel and Word, are essential, and knowledge of Maximo would be an advantage. Great communication skills and a team-focused approach are key. Experience in construction, property maintenance, or within an MOD environment would be desirable but not essential.
