Location: Homebased within Aldershot area
Working Hours: 40 hours per week, Monday to Friday
Salary: £27,000 to £28,000 per year
This is an exciting opportunity for a motivated and ambitious Scheduling Coordinator to join VIVO and play a pivotal role in supporting the delivery of reactive, planned, and void maintenance services across a large and complex accommodation portfolio. Reporting to the VIVO Scheduling Manager and based within the Regional Service Centre, this role sits at the heart of operational delivery, ensuring that work is planned, coordinated, and completed professionally, safely, and on time.
Working within a team of 3 managing 22 engineers, the Scheduling Coordinator will be responsible for supporting the flow of work to dedicated teams of on-site operatives, ensuring that all activities are scheduled efficiently and delivered in line with safe working practices and service expectations. You will maintain accurate and timely updates across operational systems, ensuring they are fully utilised to maximise efficiency and visibility. A key part of the role involves coordinating customer solutions, managing feedback, and helping to ensure that every customer interaction reflects a high standard of service and care.
Working closely with colleagues across the Regional Service Centre, on-site teams, service partners, and clients, you will help maintain strong daily operational relationships and ensure a consistent, responsive approach to service delivery. The role also involves supporting resource planning activities, including holiday rota coordination and identifying where additional resource may be required to meet demand. You will play an active role in maintaining data accuracy, producing reports, and ensuring that all system information is up to date and reliable.
Agility and responsiveness are essential, particularly when dealing with priority reactive tasks, where your ability to organise, prioritise, and adapt will directly support operational success. You will also liaise with the National Accommodation Model provider to maintain effective working relationships and ensure continuity of service across the wider network.
What you’ll need
We are looking for someone with proven experience in scheduling within a planned and maintenance or facilities management environment, who understands the importance of working accurately to deadlines in a fast-paced and pressurised setting. Strong administrative capability is essential, alongside confidence in using Microsoft Office applications, particularly at intermediate to advanced Excel level. A solid grounding in safe working practices within a building or FM environment is also important, along with GCSE-level English and Mathematics.
Beyond technical skills, success in this role depends on your ability to communicate clearly, collaborate effectively, and build strong working relationships across multiple stakeholders. You will be expected to summarise information clearly to ensure shared understanding, initiate communication proactively, and take ownership of decisions, ensuring they are delivered on time. The ability to work constructively in ambiguous or changing situations, while maintaining a focus on positive outcomes for the business and its customers, is key.
You will also need strong analytical skills and attention to detail, with the ability to interpret information, produce concise reports, and support data-driven decision-making. The role requires someone who can prioritise effectively, anticipate workload demands, and consider different approaches to solving operational challenges.
