Are you a highly organised and motivated individual who thrives in a busy and varied administrative role? Do you enjoy keeping things running smoothly behind the scenes while supporting a team that plays a critical part in national infrastructure and defence operations? If so, VIVO would love to hear from you.
We’re looking for a professional, friendly, and proactive Administrator to join our team within the SDA (Special Delivery Area) – a vital part of our operations that supports the delivery of essential services across a high-security government estate. This is more than your average admin role. It’s about being at the heart of our team, ensuring everything from documentation and security processes to communications and logistics flow efficiently and with attention to detail.
The Role
In this role, you’ll be booking appointments, coordinating gate access, arranging meetings, and managing essential documents. You’ll be responsible for updating reports, preparing minutes and action logs, and maintaining both electronic and physical filing systems that help keep us compliant and organised. You’ll act as a point of contact for internal and external enquiries, providing excellent customer service whether face-to-face, by phone, or online.
Your responsibilities will also include overseeing health and safety noticeboards, distributing mail, maintaining induction packs, and ordering critical supplies from stationery to PPE. You’ll play an important part in maintaining base security—meeting and greeting visitors and liaising with the base security officer to ensure access protocols are followed.
Every day will bring something new. You’ll need to be comfortable working independently, adaptable to changing priorities, and confident working across departments to provide support wherever it’s needed. You’ll also be relied upon to promote a positive culture of customer service, health and safety, and teamwork.
What You'll Bring
To thrive in this role, you should have a good working knowledge of Microsoft Office, be experienced in using systems like CAFM, and hold a full driving licence. You’ll need to be calm under pressure, an excellent communicator, and naturally great at solving problems and juggling priorities. Previous administrative experience, ideally in a facilities or security-focused environment, will help you hit the ground running.
This role will require candidates to pass SC Clearance as a condition of their employment.
If you're ready for a rewarding role where you’ll be part of a dedicated team making a real difference every day—while building your skills in a secure and supportive setting—then this could be the perfect opportunity for you. Apply now and start your journey with VIVO.
