Join Our Team as an IT Projects Manager

Are you skilled at understanding business needs and turning them into well-managed technology projects that deliver lasting improvements?

At VIVO Defence Services, we deliver essential infrastructure and facilities management services across the UK Defence estate. We’re looking for an IT Projects Manager to coordinate and deliver changes across our internal technology systems, ensuring solutions meet user needs and move successfully into live service.

This is an opportunity to combine business analysis with practical project delivery, working across systems, applications, integrations and processes to improve how our colleagues work.

About the Role

You’ll manage a varied pipeline of technology projects and changes, taking them from initial requirements through planning, delivery, testing and implementation.

Working with business owners, technical specialists and external providers, you’ll define clear outcomes, assess impacts and coordinate the activities needed for successful delivery. You’ll bring structure to complex requirements, manage risks and dependencies, and ensure operational teams are prepared for change.

Your focus will extend beyond go-live, helping ensure solutions have clear ownership, effective support arrangements and deliver the intended benefits.

What You’ll Be Doing

You’ll engage stakeholders to understand the problem, desired outcome, scope and priority of proposed projects. Through requirements gathering and process mapping, you’ll document business and user needs, develop options and establish clear acceptance criteria.

You’ll build and maintain delivery plans, coordinating business teams, technical specialists and service providers. You’ll track actions, risks, issues, dependencies and decisions, keeping stakeholders informed and ensuring delivery follows VIVO’s governance, security and change-control requirements.

You’ll plan and coordinate business testing, oversee defect resolution and secure formal acceptance before implementation. Alongside this, you’ll assess operational readiness, ensuring communications, training, process updates and support arrangements are in place.

Before go-live, you’ll confirm service ownership and documentation, supporting a controlled transition into live operation. Following implementation, you’ll track adoption and benefits, capture lessons learned and identify improvements for future delivery.

Throughout each project, you’ll constructively challenge unclear requirements and unrealistic plans, holding contributors and providers accountable for agreed quality, actions and timescales.

What You’ll Bring

You’ll have relevant experience in IT project management, technology change or project delivery, supported by strong business-analysis skills and an understanding of service transition.

You’ll be comfortable managing several projects and changes concurrently, bringing an organised approach and sound judgement to work of varying size and complexity.

We’re looking for:

  • Experience managing projects and changes across internal IT applications, infrastructure or integrations.
  • Strong business-analysis skills, including requirements gathering, process mapping and defining acceptance criteria.
  • Experience coordinating testing, implementation, operational readiness and transition into live service.
  • Experience working with external technology providers and teams across different disciplines.
  • A practical understanding of technology delivery lifecycles, change control and service transition.
  • Working knowledge of Agile and waterfall delivery approaches.
  • Strong communication, facilitation and stakeholder-management skills.

You’ll be able to translate between business and technical audiences, produce clear project documentation and challenge constructively while maintaining effective working relationships.

Experience in facilities management, Defence or another regulated environment would be beneficial. Project management, business analysis or ITIL qualifications are desirable, although we equally value expertise developed through practical professional experience.

Why Join VIVO?

This is an opportunity to deliver technology improvements that support colleagues and essential services across VIVO. You’ll work on a varied portfolio, with scope to influence how projects are defined, delivered and embedded into everyday operations.

We offer a competitive salary and benefits package that recognises the experience and expertise you bring. We also understand the value of flexibility and welcome conversations about working days and hours, considering individual circumstances alongside business and customer needs.

The role is hybrid/home-based, with some travel across the UK. Flexibility may occasionally be required around releases, go-live activity and early-life support.

You’ll need to hold, or be willing to obtain, the security clearance required to work within Defence environments.

Ready to turn business needs into successful technology change at VIVO? We’d like to hear from you.
