VIVO Defence Services is seeking an experienced and detail-oriented Administrator (Asset & Data) to join our team at Larkhill. This is a key role within our PPM and Asset team, responsible for supporting the accurate management, analysis, and reporting of asset information within our CAFM systems.
This position is perfect for someone who enjoys working with data, has strong administrative and analytical skills, and thrives in a fast-paced, structured environment where attention to detail is essential.
About the Role;
In this role, you will focus on asset administration and data management to support the delivery of VIVO’s Core Services contract.
You will carry out data mining activities to identify assets that need to be entered into the CAFM system, review reports and certification data, and ensure that all asset information is current and accurate. This includes updating CIFO records, recording asset condition information, and reviewing historical certification data to verify compliance.
You will also liaise with internal teams to chase and collect missing asset data, ensuring that all information is uploaded correctly and in the required format. Working closely with the Asset Manager, you will play a vital role in maintaining asset accuracy and reliability across our systems, supporting informed decision-making and efficient maintenance planning.
What you will need;
We’re looking for a confident, reliable, and organised individual with proven administrative experience, ideally within a facilities management (FM) or data-driven environment.
You should have strong IT and data analysis skills, with experience using Excel and similar reporting tools. A high level of attention to detail and accuracy when working with large data sets is essential, along with excellent organisational and communication skills. You should be comfortable chasing and coordinating information across teams, managing and prioritising multiple data tasks efficiently.
Experience working with CAFM systems is required, and knowledge of Maximo is highly advantageous. Previous experience in a facilities management or asset management environment is also highly desirable.
This is a fully office-based role, working collaboratively as part of a small team of two alongside the PPM and Asset Team Manager. The office location is accessible by bus and other public transport links.
