Contract: Full-time, Permanent
Location: Larkhill, 100% office based
Working Hours: 40 Hours per week, Monday to Friday (8:00AM-4:30PM)

At VIVO Defence Services, we are proud to support the UK Armed Forces and their families by delivering essential accommodation services. We’re looking for a proactive and enthusiastic PPM Administrator to join our Operations team and play a key role in ensuring our family housing contracts are delivered to the highest standards.
What You’ll Be Doing
As our PPM Administrator, you’ll be the heartbeat of our operations. This role is central to managing compliance records and supporting the planned preventative maintenance (PPM) process. You’ll be responsible for data input in Excel, inbox management, checking PPM certification, and managing your own set of suppliers within the PPM industry. You’ll also support assurance inspections, primarily compliance-based, and take ownership of supplier administration.
The role is Excel-heavy and will also involve regular use of other Microsoft Office packages. Unlike some admin positions, this role is not customer-facing, so you can stay focused on operational delivery and compliance.
You will be working within a team of four administrators, led by a team leader, and located alongside another small team in the office. While collaborative, the role often requires you to work independently and manage your own workload.
What We’re Looking For
We are looking for candidates with previous administrative experience, ideally within a PPM or facilities management environment. Experience with compliance processes is also a distinct advantage.
Essential skills include strong IT proficiency, particularly in Excel and other Microsoft Office packages, along with excellent organisational ability and attention to detail. The role requires someone who can manage competing priorities, meet tight deadlines, and work independently with confidence.
You do not need specific qualifications for this role; relevant experience will be equally considered. However, it would be advantageous if you hold an NVQ Level 2 in Administration or similar. Familiarity with Maximo would also be beneficial.
