VIVO provides facilities management and accommodation maintenance for the UK military and its partners. VIVO embodies both experience and innovation.
What we do
We put our Customers and Families First. They are the driving force behind everything we do. We drive forward improvements for them to ensure the service they receive, whether reactive repairs or a major project, is completed safely and on time. In order to achieve this, we have 4 core values: open, caring, agile and collaborative. These are at the heart of everything we do.
Location: DSTL, Salisbury, on site role
Permanent, Full Time
Salary: £27,000
We are looking for a proactive and safety-focused Permit Control Coordinator to play a key role in the safe and efficient delivery of works across the Dstl Estate. Acting as the central point of control for contractor management and the permit-to-work process, you will ensure that all contractors, suppliers and project teams meet the required standards before work begins on site.
Working closely with Project Managers, Health & Safety teams, site personnel and contractors, you will coordinate the end-to-end permit process, ensuring all required documentation, certifications, training records and approvals are in place. You will review contractor submissions, verify compliance with site procedures and statutory requirements, and provide final assurance that all necessary checks have been completed before permits are authorised.
As the main point of contact for contractor access and permit queries, you will help ensure projects can commence safely and without unnecessary delays. You will maintain accurate records of permits, approvals and contractor documentation, oversee contractor sign-in and sign-out processes, and manage work control forms in line with site safety requirements. You will also support the supervision of permit administration activities, monitor compliance, and escalate any safety concerns or documentation issues where necessary.
This role is critical to maintaining strong safety governance across the contract, helping to reduce operational risk while supporting the successful delivery of maintenance, compliance and project activities. Alongside permit coordination responsibilities, you will assist with scheduling appointments, responding to contractor and stakeholder enquiries, and producing reports and documentation to support operational performance and compliance reporting.
About You
You will be highly organised, detail-oriented and confident working in a fast-paced operational environment where safety and compliance are paramount. You will have excellent administrative and coordination skills, with the ability to manage multiple priorities while maintaining accuracy and attention to detail.
A strong communicator, you will be comfortable engaging with contractors, project teams and senior stakeholders, and capable of challenging non-compliance where required. You will be proactive, solution-focused and committed to maintaining the highest standards of safety and governance.
You will be confident using administrative systems and managing documentation, with experience of coordinating processes, maintaining records and ensuring procedures are followed consistently. Experience within facilities management, construction, engineering, defence, or other regulated environments would be advantageous.
Due to the nature of the contract, you must be able to obtain Security Clearance (SC) and be a UK National.
In return, you'll join a growing organisation where safety, collaboration and continuous improvement are at the heart of everything we do, with excellent opportunities to develop your skills and build your career.
