Contract: Full Time, Permanent
Location: DSTL Porton Down (fully on-site)
Working Hours: 37.5 hours per week, Monday to Friday, 7:30am–4:00pm
At VIVO Defence Services, we don’t just manage facilities — we keep some of the UK’s most critical sites running safely, securely, and efficiently. We are now looking for a proactive and highly organised Safety Administrator to support our Permit Control function at Porton Down.
This is a front-facing, people-focused role where you will be the first point of contact for contractors, visitors, and colleagues. Based at the Permit Control desk with receptionist responsibilities, you will play an important role in ensuring site safety and operational efficiency while supporting a busy Health & Safety team.
What you’ll be doing
As Safety Administrator, you will welcome contractors and visitors on site, manage the sign-in/sign-out process, and issue work control forms and permits to ensure approvals are in place before work begins. You will provide essential administrative support to the Safety Team, including preparing reports, minutes, action logs, and agendas, maintaining filing systems, and managing compliance documentation.
You will liaise with contractors, schedule appointments, and support colleagues across the business with scanning, printing, and other administrative tasks. Strong organisational and communication skills are vital, as you will be coordinating with both internal teams and external partners in a fast-paced environment where accuracy and professionalism are essential.
You will be part of a close-knit team made up of four Health & Safety Advisors, one Technical Lead, and two fellow Safety Administrators, with regular team meetings every Friday. You’ll have day-to-day support from your supervisor, who is based nearby.
What we’re looking for
This is not an entry-level role for a school leaver. We are seeking candidates with proven administrative experience and a strong background in customer service, facilities coordination, or a receptionist-style position. You should be confident in taking minutes, managing multiple tasks, and working to deadlines.
Strong IT skills, particularly with Microsoft Office, are essential, along with excellent communication skills and the ability to prioritise effectively. A full UK driving licence is required.
Due to the nature of the site, you must be a British National and able to obtain SC Clearance.
