Be the Hub of Operations at a Key Defence Site

We're looking for a Service Coordinator to join our team at VIVO Defence Services at MOD West Moors. This is a fantastic opportunity to become part of a close-knit team supporting the delivery of essential facilities management services across the UK Defence estate.


Working alongside our Service Managers in a fully office-based role, you'll play a vital part in ensuring the smooth delivery of both planned preventative maintenance (PPM) and reactive works, acting as the central point of coordination between operational teams, contractors, our supply chain, the Defence Infrastructure Organisation (DIO) and site visitors.

About the Role


As the site's dedicated Service Coordinator, you'll provide comprehensive administrative and operational support to the Area Manager and Service Managers, helping to keep day-to-day operations running efficiently. You'll be the only VIVO administrator on site, working as part of a small, supportive three-person office team where your contribution will have a real impact.


This is a highly visible, front-facing role that requires excellent organisation and communication skills. You'll regularly engage with contractors, clients, supply chain partners, DIO representatives and site visitors, building strong relationships and ensuring a professional service at every stage.


A key part of the role involves supporting the management of reactive and planned maintenance activities, allocating site passes, coordinating access arrangements and assisting with the allocation and successful closure of maintenance tasks through our CAFM system. You'll also support the wider Site Delivery Area by providing cover for other administration colleagues during periods of annual leave or absence, although your primary place of work will remain MOD West Moors.


Alongside your operational responsibilities, you'll coordinate appointments and meetings, manage visitor access, prepare reports, agendas and meeting minutes, maintain Health & Safety documentation, oversee filing systems, organise office supplies and PPE, manage incoming and outgoing post, and ensure site security and administrative processes are completed accurately and efficiently.


What We're Looking For


We're looking for someone who enjoys being at the centre of operations and takes pride in delivering exceptional service. You'll be highly organised, adaptable and comfortable managing competing priorities while maintaining excellent attention to detail.


You'll ideally hold an NVQ Level 2 qualification, or have equivalent experience, together with a good working knowledge of Microsoft Office applications. Experience using CAFM systems is desirable and a full UK Driving Licence are essential.


Because this role is based within the Defence estate, you'll also need to be eligible to obtain Security Check (SC) Clearance.


Previous experience within facilities management, construction, engineering or defence environments would be advantageous, although we're equally interested in individuals with the right attitude, strong organisational skills and a genuine desire to learn.
