Hours: Monday–Friday, 8am – 4pm

The Estates & PMO Support Coordinator is responsible for ensuring the smooth, efficient, and compliant delivery of both planned and reactive maintenance activities across the contract. This role exists to provide vital administrative, organisational, and governance support to the Estates and Project Management teams—enabling high-quality Hard FM service delivery. The post-holder ensures that maintenance activities, statutory compliance, and project governance processes are accurately recorded, well-coordinated, and delivered in line with contractual, statutory, Serco, CDM, and customer requirements. Through effective coordination, monitoring, and reporting, the role underpins operational excellence and supports the successful delivery of lifecycle, capital, and minor works projects.

 

Key Responsibilities

  • Allocate and monitor planned and reactive maintenance tasks using CAFM systems, ensuring timely completion and full compliance.
  • Support project governance by maintaining trackers, dashboards, and reports for live and pipeline projects.
  • Assist in scheduling statutory compliance activities and uploading planned maintenance programmes.
  • Enforce documentation standards across project reporting, including time, cost, risk, and progress updates.
  • Liaise with the Finance Business Partner to reconcile SAP data and ensure accurate project financials.
  • Manage procurement processes, raise purchase orders, and ensure invoices are processed in accordance with policy.
  • Organise and support stakeholder meetings, workshops, and governance boards.
  • Provide professional helpdesk support during core hours, logging requests and allocating jobs appropriately.
  • Review technical documentation for compliance, upload evidence, and track remedial works to closure.
  • Maintain organised filing systems and generate reports to support contract governance and audit readiness.

 

Essential Skills, Knowledge & Qualifications

  • Previous experience in FM, estates, or project support roles.
  • Technical understanding of building services and statutory compliance requirements.
  • Strong IT proficiency, including MS Office (Excel, Word, PowerPoint), CAFM systems (e.g., Concept Evolution), and ideally MS Project/Visio.
  • Excellent organisational skills with strong attention to detail.
  • Effective communication and relationship-building skills.
  • Ability to multi-task, prioritise workloads, and work independently.

 

Desirable / Additional Requirements

  • Experience working with procurement systems and formal documentation protocols.
  • Full driving licence and willingness to travel across contract sites as required.
