Salary - £28,011 - £30,230 depending on experience per annum plus company benefits.
Serco has a fantastic opportunity for an Administrator to join the team at Forth Valley Royal Hospital, providing comprehensive administrative support to the Estates and Facilities Management Team.
The role involves supporting the Maintenance Officers, Projects Team, and Estates Management in the coordination and delivery of day-to-day operations, compliance tasks, and project-related activities. The post-holder will play a vital part in ensuring the smooth running of the department and contributing to the effective management of hospital estates and facilities.
Main Accountabilities:
Administrative Support:
- Provide general administrative assistance to the Maintenance Officers, Project Managers, and Estates Management Team.
- Maintain accurate records, filing systems, and databases for statutory compliance, planned preventative maintenance (PPM), and reactive works.
- Support in the preparation of reports, meeting minutes, presentations, and documentation related to estates and facilities functions.
- Handle internal and external communications, including telephone, email, and face-to-face enquiries.
Work Order and Compliance Coordination:
- Assist in logging, tracking, and updating job requests and work orders using the CAFM (Computer-Aided Facilities Management) system.
- Monitor progress of maintenance tasks and chase outstanding jobs where necessary.
- Assist with maintaining statutory compliance records, certificates, and audit trails in accordance with NHS standards and HTMs (Health Technical Memoranda).
Project Support:
- Support project managers with administrative tasks related to capital works, refurbishments, and infrastructure upgrades.
- Help coordinate site access, contractor liaison, and documentation management for minor and major projects.
Procurement and Finance Admin:
- Assist with raising purchase orders, processing invoices, and monitoring departmental budgets where appropriate.
- Liaise with suppliers and contractors to obtain quotes and support procurement processes in line with Trust policies.
General Duties:
- Maintain confidentiality and data protection standards in line with Trust policy.
- Support Health & Safety compliance through administrative tasks such as maintaining risk assessments, contractor permits, and method statements.
- Contribute to team meetings and service improvement initiatives.
- Carry out any other reasonable administrative duties as requested by management.
What you will need to do the role:
Essential:
- Previous administrative experience in a busy office environment.
- Strong organisational skills with the ability to prioritise workload.
- Good working knowledge of Microsoft Office (Word, Excel, Outlook, Teams).
- Excellent communication and interpersonal skills.
- Ability to work both independently and as part of a team.
- Attention to detail and a methodical approach to work.
Desirable:
- Experience working in a healthcare or estates/facilities management environment.
- Familiarity with CAFM systems (e.g., PLANON, Micad, Concept).
- Understanding of NHS Estates compliance requirements.
