As part of our long-standing partnership with the European Space Agency, we’re seeking a Documentalist to join us onsite at ESTEC, ESA’s technical heart in Noordwijk. This is the place where Europe’s missions are born, where engineers, scientists and innovators gather to turn bold ideas into the spacecraft that will explore our planet, our solar system and beyond.

Responsibilities:

  • Gather deliverable documentation from the Project Industrial Consortium, Principal Investigators, Technical Officers and internal experts
  • Manage the full document lifecycle, including registration, updates, review and approval cycles, filing, distribution and archiving
  • Support documentation handovers between Projects, Operations, Science and industry
  • Assist project teams in retrieving information and documentation
  • Support the selection, testing and improvement of document management systems and processes
  • Contribute to migration activities between document management systems, including metadata validation and content checks in line with procedures
  • Monitor and maintain server content in line with requirements and guidelines, including periodic clean-up and closure of dedicated areas
  • Ensure all incoming and outgoing documentation complies with applicable processes, including QMS, procedures and working practices
  • Support the definition and improvement of records management and archiving processes
  • Implement archiving activities, including identification, inventory, transfer and disposal of records
  • Handle confidential and export-controlled information, including ITAR, and manage user access rights
  • Provide documentation support to Payload and Science teams, including retrieval from systems such as Eclipse and SharePoint
  • Act as the main point of contact for documentation tools across project interfaces
  • Support Project Control, Procurement and Product Assurance teams with processing and tracking deviations, waivers and contract change notices
  • Support mission project reviews in Eclipse and coordinate review cycles

Profile:

  • Bachelor’s degree or equivalent qualification
  • At least 4 years of relevant experience in a similar role
  • Strong experience in document management activities and solid knowledge of document management processes
  • Familiarity with the implementation phase of space missions
  • Excellent communication skills, strong customer focus and a team-oriented mindset
  • Comfortable working in multicultural environments
  • Good knowledge of document management systems and related IT tools, including SharePoint and the ECLIPSE Software Suite
  • Fluent in English
  • Candidates must be EU nationals.
