On behalf of our team in the Netherlands, we are looking for a Documentalist to support the European Space Agency at ESTEC.

Responsibilities

• Manage unclassified documentation for the Navigation Directorate, including incoming and outgoing documentation
• Register, classify, archive and distribute documentation in line with ESA procedures and documentation rules
• Prepare documentation packages for programmatic and technical reviews
• Maintain and structure documentation in ESA document management systems (such as DMS and ECLIPSE)
• Control access rights to unclassified documentation, including export-controlled information
• Support internal and external users with access to documentation repositories, projects and folders
• Monitor documentation workflows, priorities and schedules to ensure timely processing
• Resolve issues related to received documentation, completeness and compliance
• Support audits by preparing documentation sets and maintaining structured sub-repositories
• Interface with NAV IT Support for user account creation and access needs
• Contribute to reporting activities, including KPIs related to documentation management and service quality
• Identify opportunities to improve documentation and records management processes
• Ensure full compliance with ESA security, confidentiality and export control requirements

Profile

• Bachelor’s degree and experience in documentation management, records management or configuration management, preferably in a regulated or technical environment
• Familiarity with document management systems and structured documentation workflows
• Strong attention to detail and ability to work accurately with large volumes of documentation
• Good organisational skills and ability to manage priorities in a busy operational environment
• Comfortable working with procedures, standards and compliance requirements
• Ability to interact with multiple stakeholders in an international and multicultural environment
• Good written and verbal communication skills in English
• EU nationality is required due to security and export control regulations
• Willingness and eligibility to undergo ESA security screening and mandatory training
