On behalf of the European Space Agency, we are looking for a Junior Business Control Support to join our team at ESA-ESTEC in Noordwijk. This position is embedded in a complex operational context where reliability, consistency, and sound judgement are essential to ensure the continuity of project control activities across multiple programmes.

Responsibilities

Process reimbursement requests for the HRE directorate:

  • Support requesters in creating entries in related databases, including HRE databases.
  • Coordinate with the HRE Business Tools administration function (AU-43-01).
  • Implement reimbursement requests for different reimbursement types.
  • Ensure follow-up with the ESA CIR office.

Support Purchase Orders (POs), contracts, and P2P business control objects funded by cost center:

  • Implement shopping carts in ESA-p after verifying documentation from Business Controllers or Technical Officers.
  • Implement contracts in ESA-p based on agreed Milestone Payment Plans (MPPs).
  • Monitor the status and approval flow of Purchase Orders created by the Purchase Office.
  • Support processing of confirmations, ensuring an audit trail.
  • Create and process Goods Receipt Notes (GRNs) upon Business Controller requests, following up on approval flow.
  • Resolve ambiguities with counterparts, including Finance Teams, Technical Officers, and Controlling Office Teams.
  • Update ESA estimating dates in ESA-p.
  • Implement approved accruals in coordination with Business Controllers.
  • Provide reports such as statistics and progress statuses for these tasks.

Provide reports and documentation:

  • Create activity logs, statistics, and progress status updates on work-package tasks.
  • Produce and maintain procurement process implementation documentation and guidelines.
  • Offer inputs and recommendations for optimizing procurement support processes.

Support audits and coordination:

  • Assist in financial and management audits, including preparation, information gathering, coordination, presentations, and action tracking.
  • Participate in coordination meetings, working groups, database/tool briefings, and training sessions.

Provide user support and testing:

  • Assist users with procurement item implementation in ESA tools.
  • Offer ad hoc support for testing new systems and tools (User Acceptance Testing).

Profile

  • Bachelor’s degree in Business Administration, Finance, or a related field, with relevant experience.
  • Proven experience in business analysis, financial management, or operational control.
  • Strong analytical and organizational skills.
  • Excellent communication skills, both verbal and written.
  • Proficiency in business analysis software and tools.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Candidates must be EU nationals.
