Contractor Control Lead Receptionist

Permanent, Full time, Mon-Thurs 07:30-3:30pm, Fri 07:30am-3pm

£23,000 - £25,000 depending upon experience

 

Serco have a fantastic opportunity for a Contractor Control Lead Receptionist to join the Central Services team at the Defence Academy.

 

Reporting to the Head of Central Services, you will play a key role in ensuring that all contractors are properly inducted and fully compliant with relevant Health and Safety procedures.

 

In addition, the post holder will provide vital support and contribute to the smooth delivery within the department. The ideal candidate will demonstrate a positive proactive approach to the role and will be committed to delivering customer service excellence.

 

Main responsibilities:

 

The CCO requires the pre-booking of arrival to site by contractors via sponsors. The provision of a compulsory site induction which includes a site safety brief and site related information are carried out by the CCO and are valid for 12 months. Contractors are accountable for informing their sponsor their daily working and work location onsite at, all times.

 

  • Provide all sub-contractor employees with Health and Safety and respect on site safety briefing via induction video carried out annually.
  • Maintain induction spreadsheet
  • Be able to account for sub-contractor employees working onsite at all times using the sign in process, including knowledge of their expected working location (all provided via sponsor on form received at TopDesk)
  • Ensure TopDesk is up to date and all upcoming visits printed and induction dates checked.
  • Record all daily numbers on Master spreadsheet and share with relevant stakeholders.
  • Lanyards will only be issued once the CCO has confirmed that inductions are in date and a CCO notification form has been received.
  • Update daily expected visits at end of day and contact sponsors to notify of ‘no shows’
  • Record numbers of on-site contractors daily and ensure names are spot checked twice a week for reconciliation purposes.
  • Empty the post-box and reconcile to signing-in book the late returned passes.
  • All Contractors must sign in and out on commencement and completion of work every day.
    • On Site Contractors - Pink Passes
    • Off Site Contractors - Yellow Passes
    • CDM Projects - Orange Passes
  • Provide resilience cover for the SSRC and JSCSC Reception teams, when required 

 

What you’ll need to do the role:

 

  • Good level of general education
  • Excellent customer service skills
  • Professional and engaging communication using a variety of methods (spoken, written)
  • PC literate, with a good level of experience in MS Office including Outlook (essential), Word (essential), Excel (essential)
  • Strong interpersonal skills - engaging well at all levels and with different cultures
  • Ability to work unsupervised and to cope under pressure, balancing conflicting demands of customer and colleagues, maintain composure
  • Ability to work collaboratively in a team environment or individually

MoD Security Clearance. Due to the nature of the organisation, all employees of Serco are required to be security cleared to BPSS/SC level.
