Salary: £26,765.87 per annum plus excellent benefits 
Schedule: 
40 Hours per week, Monday – Friday 8.30am – 5pm (flexible within office hours)

As a Psychological Services Administrator in our HMP Dovegate team, you will provide comprehensive administrative support to the Offending Behaviour Programmes and the wider Psychological Services Team. The role is essential in ensuring the efficient management of programme documentation, prisoner information, and administrative processes in a busy and sensitive working environment.

 

 What you’ll do as a Psychological Services Administrator

  • Log, process, and respond to applications and referrals for Offending Behaviour Programmes
  • Prepare and maintain files for audit purposes and complete relevant audits
  • Prepare group materials for facilitators in advance of programme delivery
  • Ensure daily filing, archiving, and secure management of prisoner records
  • Take accurate minutes and distribute documentation for relevant meetings, including Post Programme Reviews (PPRs)
  • Provide administrative support to Treatment Managers and Programme Managers, including prisoner needs analysis and maintaining programme waiting lists
  • Carry out general administrative duties as directed by the line manager, including mail handling, photocopying, filing, and stationery ordering
  • Support the wider Psychological Services department with the management and processing of psychology files in line with data protection and ethical requirements
  • Arrange dates, venues, and any special requirements for Post Programme Reviews, demonstrating flexibility to maximise attendance
  • Distribute post-programme reports and review minutes to prisoners and relevant staff, ensuring appropriate filing
  • Maintain and update psychology file databases and other administrative systems

Experience

  • Essential: Previous administrative experience in a busy working environment
  • Desirable: Experience of working within a prison or secure environment, with knowledge of Offending Behaviour Programmes and resettlement pathways

Knowledge

  • Good working knowledge of Microsoft Office
  • Understanding of data protection and information-sharing guidelines

Skills and Attributes

  • Excellent written and verbal communication skills
  • Strong organisational skills with the ability to manage and prioritise a high workload
  • Ability to work effectively under pressure as part of a busy team
  • Confident liaising with a wide range of internal and external stakeholders, including staff and prisoners
  • Ability to work collaboratively as part of a team
  • Commitment to continuous improvement and self-reflection
  • Ability to maintain professional boundaries and demonstrate resilience in a prison environment

 

 Vetting and checks: 

An Enhanced DBS check is required for this role. This includes spent and unspent convictions, cautions, and any relevant information held by local police, in accordance with the Rehabilitation of Offenders Act and safeguarding requirements. You will also complete an Occupational Health Questionnaire to allow us to provide any support needed for you to succeed in the role.
